Role overview:

The Personal Assistant plays a crucial role in supporting the Chief Brand Officer (CBO) through proactive coordination, organization, and administrative excellence. This role ensures the smooth running of daily operations — from managing calendars and travel to overseeing the upkeep of our creative workspace. The Personal Assistant will work closely with the Brand Project Coordinator to help execute events, manage logistics, and provide hands-on support in a dynamic, fast-paced environment.

Key responsibilities:

Executive Support

  • Manage the Chief Brand Officer’s diary, appointments, and daily schedule with precision and foresight.
  • Coordinate all travel arrangements — flights, accommodation, transfers, and itineraries. Exercise discretion in committing time and prioritizing tasks.
  • Maintain awareness of priorities and anticipate needs to ensure the CBO’s time is optimized.
  • Assist with meeting preparation, note-taking, and follow-ups.

 Office & Space Management

  • Oversee the upkeep and daily management of the 107 Castle Street office space, ensuring it remains organized, well-presented, and functional.
  • Manage cleaning, maintenance, and stock levels (supplies, refreshments, etc.).
  • Liaise with external suppliers and building management when required.

 Event & Activation Support

  • Support the Brand Project Coordinator in the execution of brand-led events, shoots, and workshops.
  • Handle logistics such as catering, set-up, guest lists, invitations, and on-site coordination.
  • Ensure smooth operational flow on the day of events.

 Administrative & Errand Management

  • Run personal and professional errands on behalf of the Chief Brand Officer where required.
  • Manage deliveries, bookings, and day-to-day operational tasks.
  • Support administrative processes such as filing, record-keeping, and correspondence.

 Calendar & Travel Oversight

  • Maintain a detailed travel and events calendar, ensuring all business and personal commitments are tracked.
  • Coordinate with the Brand Project Coordinator to avoid scheduling conflicts with brand initiatives or events.
  • Prepare travel documents and briefing packs as needed.

 
What you bring:

  • A bachelor’s degree in business administration or related filed preferred
  • 2 – 3 years of experience in a Personal or Executive Assistant role, preferably supporting senior leadership
  • Valid driver’s license and own car
  • Proficient in Microsoft Office
  • Strong administrative skills
